Report management - Whistleblowing

HIREF S.p.A., in compliance with Legislative Decree no. 24/2023, in order to counteract behaviors or events that may constitute violations of laws or regulations (national or European Union) and to protect the public interest and the integrity of the company itself, has established a portal for reporting unlawful conduct, accessible here

The portal

The portal allows the whistleblower to submit a report either anonymously or, alternatively, by providing their personal details, while ensuring the confidentiality of the whistleblower’s identity, the person involved, and anyone mentioned in the report, as well as the content of the report itself.
The service does not include tracking logs in order to prevent the possible identification of a whistleblower who wishes to remain anonymous.

At the time of submitting a report, the service will issue the whistleblower a unique 16-digit identification code (report receipt), which is required to subsequently access the report and any interaction with the Designated Officer.
Reports must be made in good faith and should be substantiated with information that is as precise as possible in order to be easily verifiable. They are handled by a specially trained Designated Officer and processed with the utmost discretion and confidentiality to protect the whistleblower from any risk of retaliation or repercussions.
Within 7 days from the submission date, the whistleblower will receive an acknowledgment of receipt via the portal.
Within no later than 3 months, further updates will be provided through the portal until the conclusion of the investigation of the reported event.

Protection and Responsibility of the Whistleblower

No retaliation or discrimination, whether direct or indirect, may be taken against anyone who, in good faith, has submitted a report. In accordance with applicable regulations, sanctions are provided against those who violate the measures protecting the whistleblower.
It should be noted that, in cases where reports are made with willful misconduct or gross negligence, or are found to be false, unfounded, defamatory, or otherwise submitted solely for the purpose of damaging the Company, the reported person, or other parties concerned, the Company may take appropriate action, including legal proceedings.

All reports are strictly confidential. Any personal data contained in the report will be processed in compliance with personal data protection regulations and the HiRef GDPR Policy. (Privacy)
